Reporting to the Executive Committee, the Office Manager supervises an administrative team; manages human resources functions; oversees office operations and systems; and develops and implements related policies, programs and procedures. In consultation with the Board of Directors, the Office Manager assumes a leadership role in ensuring that human resources, office operations and professional practices are aligned with the business plan and strategic direction of this highly-successful firm.

To a certain degree, you will be defining this developing role, but your specific responsibilities will encompass the following:

* Full-cycle recruitment for administrative staff members, and coordinating recruitment process for professional staff
* Supervises administrative team, and reviews their performance either directly or in consultation with other management staff
* Coordinates performance management programs
* Provides employee orientation, and coordinates training and development programs
* Administers employee benefit plans
* Acts as a key member of the compensation committee, manages the compensation system, and maintains job descriptions and specifications
* Provides human resources support and advisory services to employees and managers
* Employee relations responsibility, including disciplinary action up to and including termination (subject to Executive Committee approval)
* Maintains employee database, tracks attendance, calculates and monitors vacation and other balances
* Ensures compliance with all occupational health and safety requirements
* Maintains employee handbooks, electronic records, HR policies, governance policies, office procedures manuals and related forms and documentation
* Manages office facilities, including space planning, directing internal moves, ensuring security of the premises, managing renovation projects, and maintaining janitorial or other maintenance contracts
* Coordinates and plans for office services, equipment purchases and leases, office telephone system changes, cellular phone services, parking facilities, and records and document management systems
* Strives to improve the efficiency and effectiveness of office systems, processes and procedures, negotiates for better vendor pricing and terms, and implements efficiency and cost-saving measures
* Liaises with IT staff and consultants to troubleshoot software, systems and equipment issues
* Assists in the preparation of human resources and office services budgets and maintains budgetary controls for purchases of supplies, furniture, equipment and services

Requirements

Education and Experience:

* A post-secondary degree, diploma or certificate in human resources, business administration or a related discipline
AND
* Approximately 10 years of human resources or office management experience, preferably in an accounting or professional services environment, including a minimum of 5 years in a supervisory or leadership capacity
* A CHRP designation or working towards a CHRP designation would be considered an asset
OR an equivalent combination of education and experience

Knowledge, Skills And Abilities:

* Demonstrated business management skills and leadership abilities
* Strong recruitment and selection skills and human resources generalist knowledge
* Thorough understanding of the legal framework, including Employment Standards Act, Human Rights Code, Labour Relations Code, Workers Compensation Act and Regulations, and BC Personal Information Protection Act
* Excellent communications skills, both oral and written, including the ability to write detailed reports, executive summaries, policy documents, and other high-level communications
* Well-developed interpersonal, supervisory and teamwork skills, together with the ability to motivate, coach and mentor others, and maintain positive relationships with internal and external stakeholders
* Ability to exercise discretion, tact and diplomacy in dealing with highly sensitive and confidential employee and strategic business matters
* Solid knowledge of office procedures, office services functions and basic office equipment and tools
* Proven organizational and multi-tasking abilities, with excellent time management skills
* Ability to analyze data, think strategically, and make independent judgement calls and decisions
* MS Office proficiency, including intermediate to advanced Word, Excel and Outlook
* Internet research skills, ability to use web-based tools, and basic technology and equipment troubleshooting skills
* Strong sense of urgency and the ability to function at the senior management level in a fast-paced demanding professional services environment
* A commitment to providing excellent client service in a timely and professional manner
